This section features general conference information and services for both SAPPHIRE 2009 Orlando and the 2009 ASUG Annual Conference.

Registration Information and Material Pickup


Registration Information
Main registration is located at the Orange County Convention Center in the South Concourse.

Material Pickup
Once you have registered, please proceed to the material pickup counters located in the South Concourse. You will need to turn in the voucher from your badge to receive your conference materials.

Housing Services

If you have any questions regarding your hotel reservations, please stop by the SAP and ASUG Housing Desk located in the South B Concourse of the Orange County Convention Center. This service is available during conference registration hours. The housing desk phone number is +1-407-685-6141.

Event Information Booths and Event Information Stations

Event Information Booths
Information booths are staffed on the show floor for conference attendees who have questions and special needs.

The information booths are located at the entrance to the show floor on both the north and south sides. An information counter is also available at our registration area in the South Concourse and is available during registration hours.

Event Information Stations
Information Stations are located throughout the show floor and the meeting space. Please refer to the floor plan in the "On-Site Guide: Printed Version" for exact locations. Each of the Information Stations allows you to take advantage of the following activities:

  • Use the Agenda Builder to build or update your personal agenda
  • Request featured SAP® brochures
  • Receive updates for the event
  • Review daily highlights for the program
  • Browse the Internet
  • Check e-mail

Guest Services Desk

The Orlando/Orange County Convention & Visitors Bureau operates a Guest Services Desk in the South Concourse of the North/South Building. Staff members are able to assist with restaurant reservations, local attractions, tourist information, and Mears Transportation.

Orange County Convention Center Safety and Security

In the event of a life-threatening emergency, dial 5-7119 from any convention center house phone or call +1-407-685-1119 from an outside phone. This will expedite the response of emergency medical personnel, as security can help them access the building. After calling, notify on-site security personnel and SAP or ASUG staff at +1-610-661-0411.

In the event of an emergency, please listen for directives from the facility or SAP or ASUG staff, which will be announced via the public address system. In the event that the public address system becomes unusable, directives will be given from lobby and open foyer areas.

First Aid and Medical Emergencies

Dial 5-7119 for emergencies from any convention center house phone or +1-407-685-1119 to reach the building security department. Automated external defibrillators are located throughout the convention center.

Luggage Storage and Airport Check-in Services

Luggage Storage
Luggage storage and coat check is available on-site on Monday, May 11, and Thursday, May 14, only, and it is located at the entrance of Hall South B, Level 1.

Please be prepared to present both photo identification and your conference badge. All bags and parcels may be subject to search.

Airport Check-In Services
Airport check-in services are provided on Thursday, May 14, by the company BAGS for a nominal fee and are located in Hall South B as well, from 7:00 a.m. through 2:00 p.m.

BAGS staff has been trained by the airlines and is TSA approved.

Please note that the following fees apply:
USD $10.00 per passenger for airport check-in plus current airline luggage fees. Cash only will be accepted.

Participating airlines are Air Canada, AirTran Airways, Alaska Airlines, American Airlines, Continental Airlines, Delta Air Lines, Horizon Air, JetBlue Airways, Northwest Airlines, Ted, United Air Lines, and US Airways.

Business Service Center

FedEx Kinko's is available in the South Concourse and the North Concourse of the North/South Building of the Orange County Convention Center. Available business services include photocopying, faxing, and small-package shipping.

Hours of operation are 8:00 a.m. to 5:00 p.m., seven (7) days a week.

Meal Service

Breakfast will not be served at the convention center. Please check with your hotel regarding breakfast options and costs prior to coming to the conference. Lunch, breaks, and welcome reception fare will be provided on the show floor during the official conference dates.

Wireless Access

Wireless Internet connectivity is available in the convention center. You must supply your own wireless equipment to reach this system. This system is provided at no cost to conference attendees. Please connect to the wireless network with the service set identifier (SSID) of "Instant Internet." After connecting, start your Web browser first in order to use the wireless network.

Badge Policy
Badges are necessary to gain access to all activities, including conference-sponsored activities outside of the Orange County Convention Center.

Dress Policy
Appropriate attire for the conference is business casual.

Smoking Policy
Smoking is not allowed inside the Orange County Convention Center.

Age Restrictions
For safety reasons, those under 21 years of age are not allowed at the conference, on the show floor, or at any special events.

Guest Tickets for Evening Events Policy
A limited number of guest tickets will be made available for purchase for our evening events on-site at the registration cashier at the Orange County Convention Center. These passes are only available to be purchased by conference attendees. Guest tickets are not available to be purchased by SAP employees. An evening events guest ticket may be purchased for $100 and includes the Monday evening welcome reception and the Wednesday evening concert celebration.

Concert Evening Agenda
3:00 p.m. - 6:00 p.m. Bus shuttles to convention hotels depart every 15 minutes from the convention center.
5:00 p.m. Show floor closes at the Orange County Convention Center.
5:00 p.m. - 8:30 p.m. Dinner is on your own.
8:00 p.m. - 8:45 p.m. Starting at 8:00 p.m., there will be complimentary shuttle bus service available from the conference hotels on our bus routes to the convention center (concert venue).

The Concert Celebration
8:30 p.m. - 9:00 p.m. Doors open for ticket distribution and seating.
9:15 p.m. Showtime: Don Henley performs.
10:30 p.m. - 11:00 p.m. Bus shuttles return to convention hotels

Important Reminders
  • Enjoy dinner with colleagues before the concert. We will not be providing food or snacks, but we will be providing beverages before the concert begins. You can obtain a listing of restaurants in the area at the concierge counter on the South Concourse. Plan ahead; most restaurants will require dinner reservations.
  • Admission to this private event is included in your conference registration. Tickets will be distributed at the concert venue only. Each person will be given a ticket for a numbered seat upon arrival.
  • To receive a ticket to the concert, you must show your conference badge and photo identification Ticket distribution starts 45 minutes prior to the concert.
  • Concert seating cannot be pre-reserved as it is determined randomly. Be sure to come with those with whom you would like to be seated to ensure that your seats will be together.
  • No one under 21 will be admitted to the concert.
  • No cameras or recorders are allowed in the concert.

Airport Transportation

Attendees are responsible for their own transportation between the airport and their hotels. Mears Transportation Group offers shuttle service from the Orlando International Airport to all designated SAP and ASUG hotels and the Orange County Convention Center from Orlando International Airport. Mears shuttles run 24 hours a day, 7 days a week, departing the curb approximately every 30 minutes. Please provide enough lead time and call at least one day prior to your departure. Please make a return reservation by calling the reservation number +1-800-759-5219. Plan to allow three hours prior to your flight time for your transfer to the airport. Tickets may be purchased at the Guest Services Desk located in the South Concourse of the North/South Building.

Shuttle Service

Complimentary ground transportation is available between the convention center and all official SAPPHIRE 2009 and 2009 ASUG Annual Conference hotels, except those within walking distance of the Orange County Convention Center. Shuttles depart regularly from the Orange County Convention Center outside of the South Concourse.

Shuttle routes are clearly identified by route number. Questions regarding transportation and shuttle schedules can be directed to the transportation booth at the registration area outside of the South Concourse.
